Privacy Policy
Last updated 27 October 2026
PocketPrism is a cash book for households: you record income, spending and budgets, on the web and on Android. This policy explains what we keep, why, and the choices you have. In short: we keep what the app needs to work, we never sell it, and we never show ads.
What we collect
- Your account: your name, email address or username, and your password or PIN. Passwords and PINs are stored only as one-way hashes; we can't read them.
- What you record: your businesses, books, entries (amounts, dates, categories, remarks), budgets, accounts and their balances, custom fields and reminder settings.
- Bills you attach: the photos and PDFs you add to entries.
- Preferences: your timezone and when you'd like reminders.
- Your phone, for notifications (Android): a push token from Firebase Cloud Messaging, so reminders and alerts reach your phone.
- Payment screenshots and messages you give us: when you add a payment from a screenshot, the text is read on your phone and only that text is sent to us. When you report a missed payment, the message you paste and any screenshot you attach reach us.
- Bank emails you forward (Pro): if you set up email forwarding, the emails you forward to your PocketPrism address reach us. We read the payment in each and keep the email's text with it; we never have access to your mailbox itself.
- Pro subscriptions: if you subscribe through Google Play, we receive the purchase's token, product, status and renewal date from Google. We never see your card or payment details; Google handles payment.
We don't collect your location or contacts, we never read your SMS or your phone's notifications, and we don't use advertising or analytics trackers.
How we use it
- To run the app: show your books, sync your entries between devices, and keep working when you're offline.
- To send the reminders and budget alerts you turn on.
- To read payments from the emails, screenshots and messages above, so you can save them as entries without typing them.
- To teach the app new bank message formats: when a payment message can't be read, or you report one as missed, we keep a copy with account, card and phone numbers masked, so our team can add that format. These copies are deleted once they've been used.
- To check your Pro subscription with Google.
- To keep your account secure, for example by ending sessions when you sign out.
Who can see it
Your books are visible only to you and the people you share a book with. We don't sell or rent your data to anyone. We use these services to run PocketPrism, and they process data only on our behalf:
- MongoDB Atlas, which stores the database.
- Render, which runs our servers.
- Google Firebase Cloud Messaging, which delivers notifications to Android phones.
- Google Play, which handles subscriptions and payment.
- Cloudflare, which receives the bank emails you forward and passes them to us.
- Anthropic (Claude), which reads a payment message when our own rules can't. It processes the message to answer us and doesn't use it to train its models.
We may disclose data if the law requires it.
Cookies
On the web, the app uses two cookies to keep you signed in. They can't be read by other sites or by page scripts, and they are removed when you sign out. The website uses no tracking cookies.
Security
Everything travels over encrypted connections (HTTPS). Data is stored on access-controlled cloud servers, and every request is checked against who may see which book.
Keeping and deleting your data
We keep your data while your account exists. You can delete your account and everything in it yourself, at any time, in Settings, in the app or on the web: see how to delete your account. It happens at once. To get a copy of your data, contact us at our support address. Deleting a book or entry in the app removes it from what you and others see.
Children
PocketPrism is meant for adults managing household money, and isn't directed at children under 13.
Changes
If this policy changes, we'll update the date above, and tell you in the app if the change is significant.
